Users need to understand whether the agent can access internal data, requires human approval for certain actions, or if its responses are probabilistic. This upfront transparency reduces uncertainty and fosters a trust-based relationship from the first interaction.
2. Transparency in decision-making. When an AI agent recommends an action or generates a report, the user must be able to break down the underlying reasoning. Displaying input data, the applied model, and the confidence level allows workers to validate decisions and correct errors. This transparency is especially critical in regulated sectors like finance or healthcare, where auditability is mandatory.
3. Granular control over agent autonomy. Not all processes should be automated to the same extent. Users need to configure the agent's degree of autonomy—from passive suggestions to automated execution with oversight. Offering sliders, “recommend and wait” modes, or “execute and notify” empowers employees and prevents surprises.
4. Efficiency without sacrificing understanding. Agent speed matters, but it must not override the user's ability to follow the thread. 7. Proactive error and failure management. No AI agent is perfect. When an error occurs—an incorrect answer, a misinterpretation, or a technical failure—the UX design should guide the user toward a solution without generating frustration. Offering options like “retry”, “contact support”, or “send feedback” turns a negative moment into an improvement opportunity.
8. Privacy and security as part of the experience. In the workplace, data protection is non-negotiable. The design must inform users about what data is collected, how it is stored, and who has access. Integrating visible cybersecurity mechanisms—such as encryption notifications or access controls—reinforces trust and complies with regulations like GDPR.
