The automation component was applied to repetitive tasks that were previously handled through spreadsheets and emails: creating users in the different platforms, renewal alerts, equipment assignment, training registration or access requests. Each task was modelled as a workflow with clear rules, controlled exceptions and supervision by a manager when the decision could have legal or financial consequences. Information visibility was another pillar. The management team needed objective data to know if the project was working. To do this, Q2BSTUDIO designed a Business Intelligence dashboard based on Power BI, connected directly to the system sources. The indicators showed the average onboarding time, the completion rate of mandatory tasks, pending support requests and employee satisfaction levels. The deployment was carried out gradually. In the first phase, a small group from the operations area used the intranet for three weeks.
